Legal

Your privacy, in plain language.

This policy explains, in plain language, what information Print-Flow 360 collects when you use this marketing website — what we do with it, the cookies we set, and the choices and rights you have. No legalese for the sake of it.

TemplateDraft pending legal review

This is a plain-language template provided as a starting point. It has not yet been reviewed by a qualified lawyer and is not legal advice. Before launch, it must be reviewed and finalized by counsel for your jurisdictions, and the placeholders below (legal entity, registered address, and any data protection representative) completed.

This policy covers the Print-Flow 360 marketing website at www.printflow360.com. The Print-Flow 360 application — where you run your store and manage your orders and customers — is governed by your customer agreement and the separate, more detailed terms that apply once you sign in.

Who we are

Who is responsible for your information

Print-Flow 360 (“we”, “us”, “our”) is responsible for the personal information described in this policy and acts as the data controller for the marketing website. If you have any questions about this policy or how we handle your information, you can reach us at support@printflow360.com.

[Counsel to complete: full registered legal entity name, company registration number, registered postal address, and — if required — an EU/UK representative or Data Protection Officer.]

What we collect

What we collect

We aim to collect as little as possible, and only what helps us answer you and improve the site. On this marketing website, that falls into three groups:

1

Things you tell us

When you book a demo, start a free trial, contact us, sign up for our newsletter, or download a guide, we collect what you type in — typically your name, work email, your shop or company name, and anything you write in a message. We only ask for what we need to reply and help you.

2

Things your browser shares

Like most websites, we automatically receive some technical information when you visit — your approximate location (from your IP address), the type of device and browser you use, the pages you look at, and the site or ad that sent you here. This helps us keep the site working and understand what’s useful.

3

Things you choose to send

If you email us, reply to a message, or chat with us, we keep that correspondence so we can follow up and answer your questions properly.

We don’t ask for sensitive personal information on this site, and please don’t send us any. Payment card details are never collected here — when you become a customer, payments are handled by trusted providers such as Stripe, Razorpay, and Authorize.Net on their own secure systems.

Why we use it

Why we use it

We use the information above to:

  • Reply to your demo request, trial question, or message, and arrange a time to talk.
  • Send you the guide, calculator result, or newsletter you asked for — and let you unsubscribe at any time.
  • Understand which pages and topics are helpful, so we can improve the site.
  • Keep the site secure, prevent spam and abuse, and fix problems when they happen.
  • Meet our legal and accounting obligations.

Where the law requires a legal basis (for example under GDPR), we rely on: your consent (for marketing emails and non-essential cookies); our legitimate interests in running and improving the site and replying to your enquiry; taking steps at your request before entering an agreement (such as setting up a demo or trial); and meeting our legal obligations.

Cookies

Cookies and similar technologies

Cookies are small files saved by your browser. We use a small number of them, grouped by what they do. You stay in control: non-essential cookies are only set if you agree, and you can change your choice at any time from the cookie settings on the site.

Essential

Needed to make the site work — remembering your dark-mode choice and your cookie preferences. These can’t be switched off.

Analytics

Help us count visits and see which pages are read, so we know what to improve. We only set these if you agree.

Marketing

Let us measure whether our ads reach the right print shops. We only set these if you agree, and you can change your mind at any time.

A full, itemized cookie list with names and durations will live on our dedicated cookies page. [Counsel / build note: link to /legal/cookies once that page is published — do not link before it exists.]

Sharing

Who we share it with

We don’t sell your personal information. We share it only with service providers who help us run the site and our business — for example, our email delivery and analytics tools — and only so they can perform that work for us. We may also share information if the law requires it, or to protect our rights and the safety of others.

Some of these providers may process information in countries other than your own. Where that happens, we take steps to make sure your information stays protected, using appropriate safeguards such as standard contractual clauses.

[Counsel to confirm and publish the current list of service providers (sub-processors) and the safeguards used for any international transfers.]

Retention

How long we keep it

We keep your information only as long as we reasonably need it for the purposes above — to answer you, to run the site, and to meet our legal and accounting duties. When we no longer need it, we delete it or remove anything that identifies you. If you’ve subscribed to our newsletter, we keep your details until you unsubscribe.

Your rights

Your privacy rights

Depending on where you live, you have rights over your personal information. We honor these in line with the GDPR and similar laws — to be clear, we describe our practices as GDPR-aligned; we do not claim any certification. Your rights include:

Access

Ask for a copy of the personal information we hold about you.

Correction

Ask us to fix anything that’s wrong or out of date.

Deletion

Ask us to delete your personal information, where we’re not required to keep it.

Object or restrict

Ask us to stop or limit how we use your information for certain purposes.

Portability

Ask for a copy of the information you gave us in a portable, machine-readable format.

Withdraw consent

Where we rely on your consent — like marketing emails or non-essential cookies — you can withdraw it at any time.

To exercise any of these, email us at support@printflow360.com. We’ll respond within the time the law allows, and we won’t charge you for a reasonable request. If you’re in the UK or EU and you’re unhappy with how we’ve handled your information, you also have the right to complain to your local data protection authority.

Children

This is a website for print-shop businesses. It isn’t directed at children, and we don’t knowingly collect information from anyone under 16. If you believe a child has sent us their information, please contact us and we’ll remove it.

Changes to this policy

As Print-Flow 360 grows, we may update this policy. When we do, we’ll change the “last updated” date at the top, and for significant changes we’ll make it clear on the site. Please check back from time to time.
